non-clinical operational support to Stanford Health Care and other
Stanford Medicine entities to ensure safe and successful
non-clinical operations 24/7 and plan for the organization’s future
facility needs. The Business Operations & Strategic Initiatives
department (“BOSI”) provides centralized and standardized business
management services, which includes strategic planning, financial
performance management, resource utilization, contract
administration, operational metrics, lease administration, and
process improvement initiatives to all departments within
Facilities Services. This includes Hospitality Services, Facilities
Infrastructure & Safety, Ambulatory Facilities & Activations, Real
Estate, Transportation & Strategy, Facilities Construction, Cancer
Campus Facilities Planning, Facilities Planning & Design, and
Sustainability Program Office. The Facilities Services division is
comprised of over 2,000 staff members across 60 cost centers with a

Overview The Senior Project Manager is responsible for managing the
programming, planning and activation of complex projects under the
general supervision of the Director. Ensures the completion of
projects are in scope, on schedule, within budget, and meets all
program objectives and appropriate government regulations. Acts as
a liaison between the client/operational leaders and all other
project participants including consultants, contractors, vendors,
and all regulatory agencies. Responsible for foundational planning,
scheduling, delegation, and oversight of the work pertaining to the
project resources and assigned project managers and project
coordinators. The senior project manager utilizing high-level
communication skills acting as the liaison between the project
team, contractors, customers, key stakeholders and senior
leadership. The senior project manager has ultimate responsibility
for the overall project delivery. The senior project manager will
be the primary owner and communicator regarding the assigned
projects. This position is responsible for managing key strategic
organizational projects. This includes the establishing of the
project governance, communication requirements, project monitoring
& control, defining project objectives; identifying, assessing &
managing risks and escalations, and aligning leadership support.
Will be required to use the existing standard work/processes and
tools as part of the assessment and implementation processes. This
is a leadership role which is responsible for directing and
managing work assignment, schedules, and operational needs of the
project coordinators and managers in the design, development and
execution of the projects. Locations Stanford Health Care What you
will do Leadership: Conduct project intake, develop project teams,
define objectives and scope, document current and future-state
processes, develop and maintain project schedule, document risks
and assumptions, and oversee development, operational workflows and
implementation. Provides leadership and direction in building
client engagement, project development, strategic decision-making,
project scope and deliverables. Collaborates with and provides
recommendations to management related to department policies,
procedures, business development opportunities, strategic planning,
and resource planning. Provide project leadership for large
strategic and cross-functional improvement programs for executive
stakeholder, department, and project team members by defining
strategic intent of programs and overseeing deliverable development
to ensure project goals are met. Manages project design and
structure for department’s key endeavors and projects within
assigned leadership division, develop strategic input management
regarding business objectives of clients for both current and
future projects. Directs and manages project managers,
project/senior project coordinators in the design, development, and
execution of projects. Mentor other project managers,
project/senior project coordinators. Relationship Management:
Coordination with Transition Strategy Senior Operations Manager and
BOSI manager on project budget targets, status and resolution of
related issues. Develop and maintain effective relationships with
project owners, operational leaders, business services, IT,
vendors, and other project stakeholders. Balances both internal and
external stakeholder interests to maintain alignment of the project
outcomes. Understands customer requirements and manages the
dynamics of these individuals. Work with and drive change across
physician groups that balance clinical, academic and research
interests. Project Management & Financial Acumen: Responsible for
the coordination and completion of projects. Oversees all aspects
of projects. Tracks milestones and anticipates deadlines, assigns
responsibilities, and monitors and summarizes progress of project.
Delivers concurrent various sized projects to successful
completion. Follows Transition Strategy standard work/processes,
policies and processes, develops detailed project plans and
completes required project documentation. Define project scope,
duration, resources and cost, as well as the best course of
action/approach to attain the project objectives. Conduct project
kick-off meetings communicate individual roles and project
expectations, and in conjunction with the project/senior project
coordinator serve as the initial point of contact for projects.
Complete and manage detailed project work plans using the
designated project management tool, utilize tools to report project
status, manage issues, identify risks, and escalations. Coordinate
post-project review and lessons learned meetings following
stabilization of projects. Manages communications on a regular and
timely basis, ensuring that all project participants are informed
of project status, issues, risks, escalations, and required
actions. Includes executive-level presentations. Prepares and
maintains accurate, timely, and auditable project documents, and
cost estimates with department procedures. Prepares and manages
project reports and budgets for senior leadership regarding status
of projects. Provides input for tracking project budget targets
(overall) and stays current on status (through BOSI coordination
and knowledge of related PO’s, vendor relationships). Working
knowledge of foundational activities (i.e. facilities, patient care
services, IT, business services, patient experience, operational
efficiency, supply chain, engineering & maintenance, etc.).
Standards, Guidelines & Technical: Incorporates Lean practices to
effectively manage stakeholder and operational leader expectations.
Assists in the development of policies, guidelines, standards, and
acts as department representative on committees and professional
organizations. Implements quality control measures to ensure
project compliance with department, hospital, and university
policies, government codes and regulations; ensures conformance to
the requirements of all project participants. (regulatory, OSHPD,
Joint Commission, etc.). Basic understanding the building
maintenance systems and/or building infrastructure (BMS). Conduct
project planning workshops to create project charter, lock scope,
identify project deliverables, create project schedule and identify
critical path. Education Qualifications Bachelors degree in a
work-related discipline/field from an accredited college or
university or applicable professional experience. Experience
Qualifications 5 years of progressively responsible and related
work experience required Seven (7) years project leadership
role(s), including three (3) years consulting experience with major
firm, or two (2) years managing complex corporate-wide major
programs/initiatives for large organizations. preferred Required
Knowledge, Skills and Abilities Ability to work independently and
make sound decisions while meeting time sensitive deadlines.
Ability to exercise judgment and demonstrate effectiveness in
decision making occasions. Ability to present facts and
recommendations effectively in oral and written form. Ability to
read, analyze, and interpret complex documents. Ability to write
reports using original or innovative techniques or style. Ability
to identify issues, risks, and escalations, assemble data, validate
conclusions and incorporate resolutions. Strong knowledge of
medical and non-medical equipment, organizational programs and
procedures. Basic experience with business case preparation and
cost benefit analysis. Expertise in MS Office Suite (Excel, Word,
PowerPoint and Visio) and Microsoft SharePoint. Moderate
proficiency with Microsoft Project, Primavera and another PPM
software tool. Demonstrated track record of establishing priorities
and meeting deadlines. Demonstrated highly motivated self-starter.
Strong interpersonal, presentation and facilitation skills to
communicate with and persuade a wide range of audiences. Superior
supervisory and matrix management skills and ability to oversee
tasks delegated to others. Serve as a change agent and
transformational leader. Advanced ability to identify, develop and
quantify any required corrective action plans. Manage a significant
workload, prioritize projects appropriately and work independently.
Executive level “presence." Excellent Conflict Resolution skills.
Effective leadership, influencing, and work delivery through
others. Workshop design and facilitation experience. Licenses and
Certifications Lean Six Sigma Certification preferred PMP - Project
